OCPS COVID-19
EMPLOYEE BENEFIT ASSESSMENT PROCEDURES
FOR LEAVE

  1. OVERVIEW

If an employee has obtained written confirmation from his/her supervisor that he/she is unable to work or telework, the employee should be directed to the OCPS COVID-19 Employee Benefit Assessment (please enter your OCPS email address and password to access this online assessment). These OCPS COVID-19 Employee Benefit Assessment Procedures for Leave have been designed to help employees navigate the process to identify whether they qualify for paid leave under any of the following:

      1. The Emergency Paid Sick Leave Act under the Families First Coronavirus Response Act (FFCRA – HR 6201), and/or
      2. Emergency FMLA under the Families First Coronavirus Response Act (FFCRA – HR 6201).

  2. PROCEDURES

    1. For Instructional, Classified, and Administrative Employees.
      A. If a classified employee qualifies for Paid Leave under OESPA MOU, he/she will be directed to complete the Request for Paid Leave Under the OESPA MOU. Once the Request for Paid Leave Under the OESPA MOU has been completed, the employee will be emailed an Accommodation Plan advising the employee to enter TDY into his/her leave request.
For Instructional, Classified, and Administrative Employees.

      a. If a classified, administrative, or instructional employee qualifies for Paid Leave under the Emergency Paid Sick Leave Act (FFCRA – HR 6201), he/she will be directed to complete the Request for Paid Leave Under the Emergency Paid Sick Leave Act (FFCRA – HR 6201). Once the Request for Paid Leave Under the Emergency Paid Sick Leave Act (FFCRA – HR 6201) is submitted, the employee will be emailed an Approval Plan advising the employee of his/her paid leave benefit.

      b. All documentation should be sent to [email protected] for evaluation. These procedures will ensure consistency and transparency and will accomplish the following:

      i. Allow Payroll to track which employee qualifies for leave under the Emergency Paid Sick Leave Act (FFCRA – HR 6201) and allow Payroll to code payment appropriately based on the employee’s answers to ensure employees are paid.
ii. Advise employees who are caring for a school-aged child of their eligibility for Emergency FMLA (FFCRA – HR 6201).
